Minimum Order

The minimum order requirement is 3 ID badges/cards.


Payment Methods

Your first order from Image Card Solutions requires either a credit card, prepaid check, or a purchase order with a signed Credit Application Form with at least 3 credit references. Credit references will be verified before your order is processed. Initial orders less than $250.00 before shipping must be paid by Credit Card or Prepaid Check. Decisions on acceptance of customer payment methods are made at the sole discretion of Image Card Solutions.

Prepaid Checks:

Orders paid in advance by check will be held until the check is cleared by the bank. It usually takes about 5 to 10 business days for the check to clear. To avoid delays in shipping, please make sure that the amount on the check is for the entire invoice (including shipping, handling, insurance, etc....) Our sales representative will be happy to give you an exact quote. All checks require a reference number (supplied by our sales representative.) -- Note: By including both your reference number and your Drivers License number on your check, it can clear faster. Nevertheless, Image Card Solutions reserves the right to hold checks if circumstances warrant it. All checks MUST be made payable to Image Card Solutions.

Credit Terms/Billing:

Purchase Orders are accepted from Government, Educational, and approved customers only. We require a minimum order of $250.00 before shipping to establish credit with us. To apply for credit, you must complete and submit a credit application. We process credit applications as soon as we receive them, however, credit cannot be issued until your references respond to our inquiries or our credit department approves your application. This may take up to 10 business days. You will be notified when credit is approved or disapproved.

Approved customers are given a 15-day net credit. Invoices are due and payable 15 days from the date on the invoice. Invoices 30 days overdue are subject to interest and penalties.

PayPal:

We accept PayPal payments. PayPal is a global leader in online payments, with 100 million accounts worldwide and growing. It's accepted by merchants everywhere, both on and off eBay.


NSF Checks

There will be a minimum $45.00 fee assessed on all returned checks.


Past Due Invoices

Accounts with overdue balances of 30 days will receive an additional service charge of 1.5% per month. Past Due invoices may be sent to a collection agency if your balance due is not paid in a timely manner. If a collection agency is used, all charges incurred will be added to the amount due.

Custom Items

On imprinted and custom orders we reserve the right to ship + or - 10% of the quantity ordered and invoice accordingly.

IMPORTANT NOTE ON DELIVERY DATES: Image Card Solutions does not warrant delivery dates on custom printed products. If you have an event for which you must have product in hand by a specific date, PLEASE let us know. We will do everything in our power to have custom products delivered on time but Image Card Solutions CAN NOT warrant receipt by that date. When possible, place custom orders a minimum of 6 weeks in advance.


Returns

All returns MUST be confirmed with Image Card Solutions before being shipped. No returns on custom printed products accepted unless resulting from a manufacturing error. Product samples to verify your claim must be submitted within 30 days of receipt of your order. We will issue a credit for the replacement merchandise. No refunds will be issued in lieu of merchandise credit. Non-custom items can be returned within 30 days for refund subject to a 15% restocking fee. Customer is responsible for all shipping costs.


Shipping Costs

The customer is responsible for all shipping costs including return shipping costs for defective products unless expressly stated by Image Card Solutions.


Order Cancellations

We will make every effort to cancel orders when requested. You will be responsible for any costs incurred up to the point where your order can be cancelled. These costs may include shipping, restocking and other fees. There are no cancellations of custom or special orders.


Chargebacks

Customers who arbitrarily initiate a credit card chargeback against Image Card Solutions will receive a chargeback fee in the amount of $25 per occurrence. This fee is to cover costs of the customer's chargeback actions. It will be invoiced to the customer along with any applicable restocking or legal fees. The customer will have 30 days to pay Image Card Solutions the charge back fee.

Customer Responsibilities

In instances where the customer has been sent a graphic proof and an order confirmation showing order details, it is the customer’s responsibility to thoroughly read these confirmations and proofs and to notify us of any changes or corrections needed. We cannot be responsible for errors overlooked by customers, this includes: graphic proofs, shipping address, items ordered, deadlines and other details of the order.

It is the responsibility of the customer to make the proper decisions regarding item desired, imprint colors, shipping methods and destinations, deadlines, etc. It is up to the customer to thoroughly communicate any special needs to us. No claims or returns will be accepted where there was a special need which was not communicated to us in writing.

Regarding colors, if there is a particular shade of color desired, it is the responsibility of the customer to notify us if they have a particular expectation of the color, such as a PMS pantone number. Thus, if customer simply states, for example, ‘green’ on their order, then it assumed that we are allowed to imprint any of our stock shades of ‘green’. We can accept no claims where we have been required to guess at a customer’s desired shade.

Regarding specifications for barcode printing and magnetic stripe encoding, if there is a particular format you need the information to be printed or encoded, it is the responsibility of the customer to find out what the format is and to communicate that to us. The customer is responsible for knowing what barcode or magnetic stripe reading system they have at their own facility. We only print and/or encode what is supplied to us by the customer.

Read all emails from us! Any email, proof, instruction or confirmation emailed by us is to be assumed to have been received and read by the customer. We cannot be responsible for problems arising because an email went into the customer’s “spam filter” or was not read by the customer for any reason.


Product Use

All ID cards/badges produced by Image Card Solutions are solely for the company, employee, authorized agents or organization for which the card(s) are produced.

Image Card Solutions and its employees are in no way responsible or liable for any misuse of any card(s) or product(s) produced or sold by Image Card Solutions. Any person(s) or party misusing any product produced by Image Card Solutions can be held legally liable and responsible for any and all damages by the organization for which they were produced.


Trademarks & Copyrights

When directed by customer to print any logo supplied by any outside source, it is with the full understanding that Image Card Solutions shall be acting as agent of the customer on the printing of said materials. The customer, as principal, shall be fully responsible for having secured rights for use of such logo and shall accept full liability for any claims or actions arising from it’s use. In placing any order with Image Card Solutions, customer hereby certifies that they have full rights and permissions for the use of any graphic they are instructing us to print.


Limitations Of Liability

Image Card Solutions will not prepare an ID badge/card for any user or customer, without such user or customer releasing and holding us harmless from any liability arising out of the preparation, printing or use of the ID badge/card. In consideration thereof, the user or customer agrees to release and forever discharge Image Card Solutions, its officers and directors, and its employees, agents, and any parties participating on behalf of Image Card Solutions from all actions, causes of action, injuries or deaths, claims, damages, cost or expenses of any kind, including any negligence, growing or arising out of the ID badge/card, including its use by the customer or user or by others on their behalf. Image Card Solutions disclaims all responsibility and liability for the accuracy and completeness of the information supplied by its customers or users and the information contained on the ID badge/card. Not withstanding anything else in this agreement, the user or customer agrees to excuse any non-performance by us caused in whole or in part by an act or omission of a third party, or by any equipment failure or information technology failure, act of God, natural disaster, strike, or other causes beyond the control of Image Card Solutions. This is a full and complete release for all injuries and damages the user or customer may sustain as a result of the use of the ID badge/card, regardless of the specific cause thereof.
